Outlook on the Web - Accessing A Generic or Shared Mailbox

There are two ways to access a generic mailbox in Outlook on the web:

 

One way is to view the generic mailbox is as a shared folder. This will allow you can see the inboox items as messages come in or to read them. Viewing a generic mailbox in Outlook on the web requires you to have Full Access permissions to the mailbox, provided by the manager of the mailbox, not by IT. If you do not have access, contact the manager to have them add you to the shared mailbox.

 

To view a generic mailbox in Outlook on the web:

  1. Right-click your name in the Navigation pane on the left hand side, then select "Add shared folder…"

  1. When prompted, enter in the full email address of the generic mailbox.

  1. Select the mailbox, then select Add.

  1. The mailbox will now show on the left hand side. When accessing Outlook on the Web from a mobile devices web browser, you will also be able to see the generic mailbox and the calendar.

The mailbox will show on the left in the navigation pane

 

 

Another way to access a shared mailbox is to open the mailbox as another mailbox. This is used for the mailbox manager to be able to setup rules or out of office replies for the generic mailbox. Opening a generic mailbox in Outlook can only be done by the manager of the mailbox

 

To open a generic mailbox:

  1. Click your initials in the top-right corner, then select "Open another mailbox…"

  1. When prompted, enter in the full generic mailbox email address.

  1. Select the account, then select "Open".

  1. The mailbox will open in a new tab, and in the Navigation pane on the left-hand side you will see the mailbox that you have opened. Now you can setup any rules or out of office messages as you would with your mailbox.
