Creating Mailbox Rules In Outlook

A rule is an action that Microsoft Outlook runs automatically on incoming or outgoing messages, based on conditions that you have specified.

To create a rule:

  • Select the File tab in the top left, then select Manage Rules & Alerts towards the bottom in the large grey box.

  • Under the E-Mail Rules tab, select New Rule.

  • Under Step 1 select a template to use, or start with a blank rule, then click Next.

  • Here you can set any preferred conditions for the rule (example: specify words or senders within received messages). Under Step 1, select the check box next to the condition(s) you would like to use. Now under Step 2, click the blue hyper link to setup the chosen condition. Once finished, click Next.

Select your conditions, click the blue hyper link to setup the condition, then click next.

  • Here you can set any preferred actions for the rule (example: moving the message to a specific folder). Under Step 1 select the check box next to your preferred action(s). Now under Step 2, click the blue hyper link to setup the chosen action. Once finished, click Next.

Select the action, click the blue hyper link to setup the action, then click next.

  • The next screen will allow you to set any preferred exceptions, which is optional. It will show under Step 2 to click the blue hyper link to setup the chosen exception. Once finished, click Next.

Select any exceptions, click the blue hyper link to to setup the exception, then click next.

  • Specify a name for the rule, setup the rule options, and confirm the rule is setup correctly, then click Finish.

  • If you want the rule to apply to RSS feeds, check the box next to "Enable rules on all messages downloaded from RSS Feeds" at the bottom left to enable the feature, then select Apply and OK.

Enable RSS feed option if needed then select Apply and Ok
